Distributing Information In WJCC Schools

Any information from an outside source that is distributed within the WJCC school division must first be approved by the superintendent or his/her designee.  Anyone requesting that materials be distributed must first complete the “Approval of Information Distribution” form (click [ HERE] for copy) and submit it to the superintendent’s office for approval. According to School Board Code KF, Section K, the superintendent or his/her designee will grant approval only for materials “directly related to the instructional program of the Williamsburg-James City County School Division.” Approval will NOT be given for materials that:

  • Are likely to cause substantial disruption of, or a material interference with, school activities.
  • Endorse or encourage the use of alcohol, tobacco or any illegal substance or illegal action.
  • Endorse or encourage any violation of the Standards of Student Conduct (see Policy JECR).
  • Are obscene, profane or defamatory.
   
 

A local fast food restaurant manager said he wanted to thank our teachers for the good work they do by giving them all a coupon for a free sandwich, and asked if he could bring a supply to our schools for distribution.  Can he?

WJCC is always grateful for local merchants’ willingness to donate goods and services in support of educational programs.  However, due a number of factors including federal tax issues and WJCC’s policies against outside advertising in the schools, donations of coupons, gift certificates, gift cards, etc. must follow specific guidelines (click [HERE] for copy of guidelines).   In the case cited in the question above, if the coupon was for a specific product and did not denote a money value, we could probably accept it.  But we would ask the donor first to complete the “Approval for Information Distribution” form, and to bring the coupons to WJCC’s Central Office for distribution to the schools.

   
 

A well-known youth organization wants to distribute information about how WJCC students can sign up to participate.  Can they?

Probably not.  Unless the organization has established some formal partnership with the school division as part of an educational program, the division cannot help one youth organization advertise its services in lieu of another in its effort to recruit members, regardless of how reputable the organization might be.
